Who we are

SYNC BRAIN IT LIMITED (Company No. 17111446), trading as Builder Diddies, is the data controller for personal data collected through our website and services. What data we collect

We may collect: your name, phone number, email address, and business details; customer and job data you send us via WhatsApp; voice notes (which we transcribe); emails we process on your behalf; and payment information processed by Stripe. We also collect cookie preference data and, if you consent, analytics data.

How we use your data

We use your data to provide our virtual staff service — including creating and sending quotes, invoices, contracts, and risk assessments; summarising emails; following up leads; chasing payments; and communicating with you via WhatsApp. We do not sell your personal data.

Lawful bases

We process data on the basis of: (a) contract — to deliver the service you subscribe to; (b) legitimate interests — to improve our service and prevent fraud; and (c) consent — for non-essential cookies and optional marketing.

Processors and third parties

We use trusted processors including Meta/WhatsApp (messaging), our hosting provider (Plesk), Stripe (payments), Google Analytics (only with your consent), LibreTranslate (website translation), and AI service providers. Each processor is bound by data protection agreements.

Data retention

We retain your account and job data while your subscription is active. After cancellation, you have 30 days to request an export of your data. After that period, data is deleted in line with our retention schedule, except where we must retain records for legal or accounting purposes.

Your rights

Under UK GDPR you have the right to access, rectify, erase, restrict processing, data portability, and to object to processing. International transfers

Some processors (including Meta/WhatsApp and Google) may process data outside the UK. Where this occurs, we rely on appropriate safeguards such as standard contractual clauses approved by the UK authorities.

Children

Our service is designed for businesses and is not directed at anyone under 18. We do not knowingly collect data from children.

Changes to this policy

We may update this policy from time to time. The "last updated" date at the top of this page will change when we do. Significant changes will be communicated via email or WhatsApp where appropriate.
